A reporting hotline without the phone line

A whistleblowing hotline usually means a number a vendor answers for you. This one is a link and a printed poster for teams without a desk, and it is worth knowing which you are buying. Here is what the web channel in CultureMonkey's anonymous reporting software gives you instead, and what it does not.

What whistleblower hotline software looks like without a phone line

Switching the portal on gives you two things to hand out: an intake URL with a long, unguessable slug on the end, and a poster you can print.

Neither is discoverable until you share it, which is why the link can sit in a handbook and the poster can sit in a break room without the channel being open to the internet at large.

The settings tab gives you a reporting link with a long, unguessable slug on the end. Copy it into the intranet, the code of conduct, the onboarding pack: anywhere your people already look.

The QR on its own drops into anything you already print.

One button issues a fresh link and a fresh QR. Everything already in circulation stops working the moment you press it, which is the point, so you replace the posters deliberately rather than by accident.

Regenerating creates a new link and QR code. Printed posters and links you have already shared will stop working.
Regenerate link

Turning the portal off stops new reports arriving, which is what you want during a migration or a policy review. Nothing is deleted, and turning it back on brings the same link back to life.

Disable reporting portal

Employees cannot submit new reports while the portal is off. Your existing cases and admin access stay exactly as they are, and you can turn the portal back on at any time.

The record

Do you need a phone line for a reporting hotline?

Not always. The EU Whistleblower Directive accepts a written channel, though some national laws and internal policies expect an oral option too. And a voice channel has to turn what it hears into something written before anyone can act on it, and whoever does that is not the person who witnessed it.

A written report skips that step. What lands on the case is the reporter's own sentence, their answers, their files and the language they chose, none of it through anybody else first.

Coming back

How does a reporter follow up without a callback?

With a report number and a password, which reopen the case from any browser. The hard part of a hotline is not taking the first report. It is the second conversation, when the case team has a question and the only person who can answer it has gone back to being anonymous.

The reporter chooses when to come back, reads what the team has asked, and answers in the same place.

FAQ

What compliance teams ask before switching

Yes, in every sense except the telephone. It is the channel a hotline exists to provide: a confidential, optionally anonymous route for raising misconduct, routed to named investigators and worked as a case with an audit trail. What it does not include is a call centre answering a number on your behalf, which is the part most buyers are actually paying for and the part we would rather they did not.

Ethics hotline software, but not a phone line, and it is worth being plain about it. There is no number to ring and no call centre answering on your behalf. Speak Up is a web channel: a private intake link and a printable QR poster that open a confidential reporting portal in a browser. If a staffed telephone line is a hard requirement for you, this is not that product.

The portal itself, which is open whenever the reporter is. Nobody has to be awake for a report to be taken, because the reporter writes it rather than dictating it, and the case is routed to a named investigator the moment it is submitted rather than waiting for an operator to pass it on in the morning. From then the investigator has seven days to acknowledge it and three months to give feedback, and the case is flagged if either slips.

Every case carries two deadlines from the moment it arrives: seven days for the case team to acknowledge the reporter, and three months to give them feedback, the two timelines the EU Whistleblower Directive sets. They are set automatically, and a case that misses either is flagged on the case, in the queue and in analytics.

You hand it out. The settings tab gives you a copyable intake URL with a unique, hard-to-guess slug, and a downloadable poster carrying your logo, that link and a Scan to report an incident heading. You can also take the QR on its own to drop into materials you already print. Most organisations put the link on the intranet, in the code of conduct and in onboarding, and put the poster where people without a desk will see it.

Yes. They get a report number when they submit and set their own password, and those two together are the way back into the case. They can read replies, answer questions and watch the case move through Received, Under review, Awaiting your response and Resolved. They can also save a notification email, which is stored separately and is never visible to the case team.

Regenerate it. One button issues a new intake URL and a new QR code, and every link and printed poster already in circulation stops working immediately. That is deliberate, so plan the swap: reprint the posters and update the intranet before you press it.

Yes. Disabling the portal returns the reporter URL to a 404 so no new reports can be submitted, which is useful during a migration or a policy review. Existing cases, the audit trail and your team's access all stay exactly as they were, and re-enabling brings the same intake URL back.

Documents, screenshots, photos, audio and video: JPG, PNG, PDF, DOCX, XLSX, MP4 and MOV, within the size and count limits shown on the step. Attachments can be switched off entirely if your policy needs that, in which case the step is skipped.
