HR case management for the concerns employees raise

Every concern an employee raises should become a case someone owns, not an email someone meant to answer. The case side of CultureMonkey's anonymous reporting software gives each one a type, an owner, a deadline and a record that outlasts whoever is handling it.

Case types

HR case management software built on your own categories

Every case belongs to a category, and the categories are yours. Five ship as defaults: safety, harassment, discrimination, fraud and policy. Rename them, retire them, or add the case types your organisation actually sees.

Each one carries its own risk level, its own follow-up questions for the person raising it, and its own team. That is what turns a pile of complaints into a caseload you can run.

Sample categories. The five defaults ship with every account; the sixth is yours.

The queue

Where does HR anonymous reporting land?

In one queue with every named concern, ordered by the risk of its category rather than the order it arrived. Concerns that arrive by email sit in whichever inbox they landed in.

  • Open, unassigned, closed

Three tabs, so nothing waits unseen. A case with no owner sits in Unassigned until someone takes it.
  • Filter by stage, category and risk

Find every open Critical case, or everything in Triage, in one step.
  • Assigned automatically

New cases go to the people covering that category, taking turns. Anything in Other is shared across the whole team.
  • A clock on every case

Seven days to acknowledge and three months to give feedback, flagged in the queue when either slips.
Handover

How does employee case management survive a handover?

Everything the last owner knew stays on the case, not in their inbox, so the next owner picks up where it stood. People go on leave, change roles and leave, and the case should not start again when they do.

  1. Reassign

An admin moves the case to a new owner in a couple of clicks.
  2. Notified

The new owner gets an email the moment the case is theirs.
  3. Nothing lost

The reporter's thread, internal notes and attachments stay on the case.
  4. Every step dated

Each stage change is dated, so the new owner sees exactly where it stands and how long it has been there.

What is employee relations case management?

Handling the concerns employees raise about how they are treated, such as harassment, discrimination and policy breaches, as cases with an owner and a record. Those cases belong apart from everything else: the people who run your engagement surveys and the people who handle concerns are often not the same people, and they should not see each other's data. Speak Up has its own membership: a CultureMonkey Super Admin sees no case until added to the team, and each member sees only the categories they cover.

An outside investigator or employment lawyer can join as a Speak Up-only member, with no way into surveys or anything else. Cases sit inside the same SOC 2 and ISO 27001 scope as the rest of CultureMonkey.

FAQ

What HR and employee relations teams ask

Software that gives every employee concern a case: a type, an owner, a stage, a deadline and a record of what happened, in one queue the HR or employee relations team shares. In Speak Up the case types are categories you define, the queue is sorted by risk, cases are assigned automatically, and every case carries a 7-day acknowledgement and 3-month feedback deadline.

No. It is built for concerns: harassment, safety, discrimination, fraud, policy breaches and whatever case types you add. Questions about payslips or leave balances belong in an HR service desk. Keeping the two apart is also what lets this queue stay confidential.

Yes. The five defaults are a starting point. Add categories such as workplace conflict or grievance, give each one a risk level, its own follow-up questions and the team that covers it, and retire any you do not use. Retiring a category keeps every case already filed under it.

Automatically if you want: new cases go to the members who cover that category, taking turns, and anything filed under Other goes across the whole team. You can switch auto-assignment off, leave any member out of the turn-taking, and reassign a case by hand at any time. The new owner is emailed when it becomes theirs.

Yes, if you allow it. Employees choose between anonymous and identified when they report, and you can require identified reporters to confirm their email with a code. Either way the case lands in the same queue with the same owner, stages and deadlines.

Reassign it. The reporter's thread, the internal notes, the attachments and the dated stage history all stay on the case, so the new owner picks up where the last one stopped instead of starting again.

No, and that is deliberate. Cases and survey results sit in the same platform but are never shown together, because the people handling concerns and the people reading engagement data should not need access to each other's work.

Yes. Analytics is on for every account: cases by category and risk, by stage, the monthly trend, response times, overdue cases, the share raised anonymously, and reports per 100 employees. It exports to a spreadsheet for a board pack.
